Room Use Guidelines
We’ve established the following guidelines to ensure a positive experience in our meeting space.
- Meeting rooms are available Monday – Friday from 7:30 a.m. – 5:30 p.m. for business purposes only. Please factor setup and take down time into your reservation request.
- The space is not available in the evenings, on weekends or holidays.
- Rooms are not for parties or celebratory events.
- You must designate someone as the organizer who is onsite for the complete duration of the reservation.
- The organizer is accountable for ensuring meeting participants find the proper meeting room and use the space in accordance with the guidelines. Endowment staff should not be answering doorbells or ushering in guests of the community organization.
- When meetings involve youth, the organizer must be a responsible adult over the age of 21.
- The Endowment does not provide printing, copying, faxing, or administrative services.
- You may bring your own food or have food delivered/catered.
- You may use JRE’s breakroom refrigerator(s) to store items. Please remove all stored items at the end of your meeting.
- Please place all used, JRE-provided plates, bowls and silverware in the break room sink. JRE staff will load and turn on the dishwasher.
- JRE provides bottled water, coffee, cream, sugar and tea at no charge to all guests.
- You must receive permission to have alcohol on the premises.
- Use coasters in the Second Floor Conference Room.
Our facility has two wheelchair accessible restrooms on the first floor. An additional restroom is on the second floor.
- Remove all food and paper products used from the meeting room(s) and walls.
- Dispose of all trash and recyclables in designated receptacle bins outside.
- Trash bags are under the sink in the breakrooms.
- The following are not allowed on the windows or walls:
- Masking tape
- Packaging tape
- Scotch tape
- Nails
- Thumbtacks
- Putty
- Any items that may affect the appearance of the wall when removed
- Post-it Notes, Post-it Note flip charts, and painter’s tape are allowed on walls.
- Do not attach visuals to electronics or artwork.
- Do not remove any artwork or clocks.
Please note that the meeting spaces are within an office environment. Please be conscientious of noise and leave the room as it was found. Staff are available onsite to assist with setting up the TV monitor and virtual meeting equipment. If anything is damaged or breaks during your event, please let a staff member know. The Endowment is not responsible for lost, stolen, or damaged personal property belonging to the organization or the meeting participants.
